The short statement on my role as IT manager at Magnum aims at identifying the role of IT Manager in organizations, role of IT Management in organizations, role of IT manager in integrating software, hardware and business management capabilities, Challenges anticipated as head of IT management at Magnum, and Integration of information technology in to business operations.
The management of IT resources according to priorities and needs is referred as the IT management discipline. The various IT resources include data, software, networks, hardware etc. Management of these resources involves functions like integration, planning, budgeting, staffing, training, change management, reporting,monitoring and control etc (O’Brien, J). The main aim of IT management is value generation through technology use and alignment of strategies with technology. Hence as head of IT management, I would aim at generating value with the use of technology.
The role of IT management in multinational corporations is huge. The main roles of IT management include communication, data management, customer relationship management, information processing, data integration and managerial decision making (Michael). Considering communication in enterprises, e mail forms the primary medium between customers, suppliers, employees and other stakeholders. The rapid change in technologies has replaced e mail with new communication technologies like video conferencing, VOIP, smart phone based communication, intranet etc (Chris MacKechnie). IT managers have the responsibility of managing these communication technologies and ensure that smooth communication takes place in the enterprise. As an IT manager, one must aim at implementing cost effective and reliable communication technology in the organization. As the IT Manager of Magnum Enterprises, a reliable and cost effective communication technology must be implemented and monitored continuously as communication forms the main aspect of any organization and plays a crucial role in the success of the organization.
The point of sale system in a retail company is the most important information management system. IT management must ensure that the stock levels are kept in a safe level and inventory is maintained in a proper manner. In a retail company, the IT manager must ensure that all items are maintained in a proper manner on a daily basis with stock in and stock out details. Similarly in Magnum enterprises, the daily activities must be recorded in the respective departments and integrated in the centralized database on a daily basis.
The main responsibility of the IT manager is to integrate networks, software and hardware in the organization. The installation and maintenance of these aspects are the sole responsibility of the IT manager. Managing computer systems and information technology involves directing, planning, controlling and evaluating the information system operations (Lawrence W. Foster and David M. Flynn). This has to be achieved by coordinating the information system personnel to integrate the various resources of Magnum enterprises. As the IT Manager of Magnum Enterprises, I will initiate the process of integration at Magnum enterprises and involve the information system personnel in integrating the resources of the company in the correct combination to get the maximum benefit for the company. Then the integration aspect will be reviewed and updated on a regular basis.
Electronic data processing is one of the important tasks of integration and managing IT. The IT manager must implement and develop procedures and policies for computer operations, systems development and data processing. The IT manager must interact with the business managers of the organization to discuss the specifications, system requirements, time lines and costs. Another major role of the IT manager is to hire and supervise the information systems employees in designing and developing the information systems, networks and software in the organization meeting the specifications and requirements of the business managers of the organization. The IT manager must control the budgets and expenses of the computer system. These are some of the roles of an IT manager in integrating the various resources of the organization. At magnum, my main role is to integrate the networks, software and hardware with managerial implications.
Another major role of an IT Manager includes the reporting, planning and resource development of the organization in an efficient manner. The IT manager must ensure that modern software and hardware with the recent updated versions are installed in the information system. The IT manager is required to trouble shoot networks, software and hardware, have knowledge on operating system, offer training to employees on the information system, provide recommendations on information access and maintain document record of the inventory of the various resources in the organization. Reporting is a crucial role of the IT Manager and as an IT manager I need to report to Rachel Heigl, My Boss at Magnum Enterprises.
The IT manager must have control over information access and must continuously monitor the information technology resources. The various activities in monitoring role include the log record keeping of the maintenance and repair activities, technology issues troubleshooting, work station installment, hardware connections, software loading, network management, technology security monitoring, network access, pass word management, controlled access of information, IP address maintenance and ensuring proper disposal of hardware (Lawrence W. Foster and David M. Flynn). At Magnum enterprises, I will supervise the six personnel in an effective manner by monitoring the activities in a close manner and adopting appropriate control measures over the firm resources.
The IT manager must aim at reducing the costs of IT, improving productivity, improving service delivery, improved satisfaction of customers through quality service, IT services improvement by adopting best practices, establish standard guidelines in the organization, enhanced use of experience and skills of the employees (O’Brien, J). IT manager is held responsible and accountable for the various IT services. IT manager must have knowledge on the emerging information technologies and communication services to implement in the organization. As the IT manager of the Magnum Enterprises, I understand that I have to update myself with the recent technologies regarding information systems and continually develop my skills and knowledge. I would always aim to deliver quality IT service to the customers working at Magnum enterprises.
Some of the common challenges of an IT manager include the management of vast data. There are various departments in an organization and the IT manager must handle data between the departments in a careful manner and offer controlled access to information pertaining to the separate departments. This remains a huge challenge for the IT managers. At Magnum enterprises, the management of data is a problem but with the appropriate supervision of the six information personnel, this challenge can be overcome by delegating tasks accordingly.
Data security is another challenge facing the IT managers and they must ensure that the data about the clients and other data of the company are secure. Data storage and access has to be continually monitored and data security must be ensured by adopting appropriate technologies. At Magnum enterprises, Data security must be given top priority safeguarding the information of company and customers. Latest security technologies must be installed at magnum enterprises and maintained by the IT department at Magnum enterprises under my supervision.
The data integrity from various departments is yet another challenge for the IT managers. Integration of data from various sources is a key challenge and responsibility of the IT manager. Data integration becomes a problem with various formats and there are chances of the entire information getting mixed and destroyed. Hence data integration must be made in a careful manner without destroying or altering the contents. The challenge of data integration can be overcome at Magnum enterprise by appropriate delegation of authority among the six information system personnel. I have to ensure that data from various sources are stored in the same manner in the centralized database of the organization without any manipulations. Data integration will be given the first priority in addressing the challenges at Magnum enterprises.
My recommendation is that a proper data governance policy must be implemented in place in the organization to resolve the various issues in data integration. Master data management is another data management process that is widely used in organizations to manage data in an effective manner. In these ways, data management and integration can be carried out at Magnum Enterprises.
IT managers need to maintain the organization’s IT infrastructure after implementing them. Implementation and maintenance are the two main activities of the IT manager. Enterprises depend on a centralized information system to manage communication and data in an efficient manner (Michael). The IT manager must always aim at building cost effective system to achieve the goals of the information system department in the organization. As the IT manager of Magnum enterprises, I would do a periodical review of the various IT infrastructures in the organization with the help of the six information system personnel. Based on the reporting of the personnel, planning on IT infrastructure improvement can be carried out at Magnum Enterprises.
Data management and integration remains as one of the most important roles of IT management. Each company has a large amount of information stored in their database. This information is very useful for decision making purposes when managed and integrated in the appropriate manner. There are various departments and activities in an organization and each have their own important data. The role of IT management is to integrate all this data together and manage it in an appropriate manner. Information is readily available to the managers to make decisions at a fast rate. This benefits the entire organization as a whole. As the IT Manager of Magnum Enterprises, I need to have decision making powers to manage the entire IT infrastructure and IT services of the Magnum enterprises.
IT management is very useful in managing customer relationships. CRM systems are very useful for company personnel to interact with the customers. The issues reported at the call center are recorded in the CRM systems and solutions are arrived accordingly. Managers can use this information to avoid such errors in the future. This CRM system helps in satisfying the customer in a more precise manner and increases productivity to a great extent. Every organization now maintains an exclusive CRM system to cater to the changing needs and desires of the customers. The CRM systems help in troubleshooting the products and remove defects in the products based on the feedback of the customers. As the IT Manager of Magnum Enterprises, I would implement the CRM system to get the feedback from the customers and customize the IT services according to their tastes and preferences.
The role of IT managers in management information system has grown to a great extent in the past decade with changes occurring in a rapid manner. Innovations in technologies are occurring on a daily basis and the role of IT managers change accordingly to improve the productivity and effectiveness of the organizations. The MIS at Magnum enterprises must be analyzed and changed according to the customer tastes and preferences.
The IT manager must be at a decision making level in an organization. IT Manager must be an effective leader in leading the personnel to integrate the data from the various departments and report the information to the boss for decision making. Information plays the key role in decision making and in such situations, the role of IT Manager in providing useful information to take a decision is crucial to the success of the organization. IT Manager is in charge of the IT department and is expected to be at the head of the overall organization structure. IT Manager directly reports to the CIO (Heigl in our case) and plays a vital role in the decision making process (Chris MacKechnie). The entire IT functions of the organization are coordinated and carried out by the IT Manager. Reporting forms the crucial role of the IT Manager and must involve the information systems personnel in correct reporting standards to the IT Manager. The IT Manager must ensure that all information system personnel handle data in an appropriate manner and integrate the necessary data together to report to the CEO to make a decision. The IT manager also has the responsibility of framing the information system policies, compliance to system, risk management capabilities and procedures. The IT management function must be centralized to the entire organization and the entire data must be pooled in to the information system fulfilling the requirements of the company. These activities will be done by me as the IT manager of Magnum enterprises.
The IT manager must aim at continuous improvement of the information system in planning, improving, assessing and documenting the relevant data. The IT managers have the responsibility of allocating the roles to various information system personnel and manage them in a proper manner. This is done through the adoption of proper governance structures in the organization by the IT manager. Each IT application must have responsible personnel to carry out the task and reporting has to be done to the IT manager on a regular periodical manner. The six information personnel will be trained me regarding the reporting aspect and the entire reporting process will be standardized and made transparent at the Magnum Enterprises.
Handling the e business challenge at magnum Enterprises
This second part of the essay discusses the importance of taking into account the views of operation, marketing, finance and legal on strengthening e business capabilities, key technical challenges encountered in re engineering the e business function and key management challenges in handling e business.
Integration becomes a problem in e business involving multiple divisions. The manager must avoid the duplication of activities and eliminate them. The real key challenge in integration is the integration of people, systems and processes. This integration challenge can be solved with the complete involvement of the representatives of various departments of Magnum enterprises given with the task of handling e business. Identification of critical success factors like commerce, content, cost, innovation, convenience, community and connectivity (Michael Reiss) in e business form the importance of taking into account the views of operation, marketing, finance and legal on strengthening e business capabilities
In the finance aspect, the cost factor plays a major role in strengthening the e business capabilities. The managers must aim at achieving efficiency in costs and keep the transaction costs low. Costs can be reduced to a great extent in the logistics and inventory aspects considering e business. I will consult with the representative from the finance department of the Magnum enterprises and aim at achieving cost efficiency.
The commerce aspect of finance focuses on increasing the e business profitability through re engineering the entire business processes from procurement to online payment technologies. Considering e business, the entire processes from tradition business has to be re engineered to suit the e business needs. Considering e business, online payment technologies form the crucial aspect and a sophisticated and highly reliable online payment system is to be implemented at Magnum enterprises e business segment with consultation from the technical experts. The entire financial transactions of Magnum enterprises e business take place through this online payment system and this system must be made robust and reliable to ensure smooth financial transactions with the support and consultation from the financial representative.
In the internet era, customers are well informed and a new breed of information based customers has emerged. Customers can compare the prices in the internet in minutes before making a purchase. Meeting the customer expectations in the internet era is the major challenge for the e business managers. Customer switching is frequent and retaining customers in e business remains a big management challenge. This is one of the management challenges to be faced by the e business of Magnum enterprises. The representative from the marketing department of the company must be consulted and appropriate strategies must be framed to retain the customers.
Convenience and connectivity aspects of e business are related to marketing in making the customers to purchase products online. These two factors are considered important and influence the customer to complete the online sales. Speed and accessibility are the two main reasons cited by majority of the customers shopping online. The marketing representative must be consulted on these marketing aspects and the accessibility of customers with the e business of Magnum enterprises must be made more simple and easy.
CRM (Customer relationship management) is one of the key aspects of e business marketing and is aimed at retaining the customers which remains a big challenge for e businesses. The cost of retaining the customers is six times less than that of acquiring new customers. Competency based diversification is one of the strategies adopted by business to retain customers and satisfy them in an improved manner. CRM is a marketing aspect and a competent CRM system must be implemented in Magnum enterprises e business with the involvement of the marketing representative in designing the CRM system to attract new customers and retain the existing customers.
E business restricts logistics to a great extent but still logistics can pose problems in delivery of goods and services to the customer. Shipping can become a problem in e business and the manager must adopt reliable shipping policies, procedures and agents to avoid the shipping related problems. The shipping problems can even lead to the loss of customer in certain cases. Physical logistics must be monitored by the operations of the Magnum enterprises in real world in an appropriate manner to avoid shipping related problems.
The marketing activity of sales in e business has transformed to a customer consultant task. The traditional sales jobs are eliminated in e business. The role of sales representatives in e business is more of a support role to understand the problems of the customer and offer solutions to their problems. The marketing representative must be put in charge of the sales function of the Magnum enterprises e business. Strategies must be framed in consultation with the marketing representative to transform the sales function catering to the demands of the Magnum enterprises e business.
E business faces the challenge of exuberance in the labor market and there is heavy competition for labor. Technically well equipped employees are in demand in the e business. Technical and managerial skills are the most important skills needed in an e business environment. Compensation and pay negotiations are at a high range in the e business companies like Amazon etc. The cost to company packages offered to employees in e business is the highest in the industry. Legal documents are signed before entering in to contract or joining an e business and the human resource department complies with all legal formalities in managing and compensating e business employees. The legal issues pertaining to the magnum enterprises e business must be outsourced to a third party professional or can be given to the legal advisor of the Magnum enterprises.
Angela Scollary. Joze Kuzic. Julie Fisher state the main technical challenges of e business to be security issues, issues in website, Infrastructure issues etc. People issues and organization issues form the managerial challenges in the e business. Lack of technological infrastructure can be a major hindrance for the success of e business. The manager must ensure that the necessary IT infrastructure is installed in place and made available for the smooth operation of the company. Technological infrastructure has a direct impact on the operations of e business. Technology plays the pivotal role in e business of Magnum enterprises and it must be ensured that modern technologies are implemented with regular up gradations.
Technology is yet another challenge in the e business. Technology forms the main competitive advantage and strategy of e business. Innovations in technology form the competitive advantage of many e businesses. For example, the use of technology by courier companies to track their consignments online was a new innovation at the earlier stage but now every courier company gives the option of consignment tracking to the customers in their websites. Hence managing technology becomes a primary challenge for e business. A separate technical team must be in place at the e business of Magnum enterprises to resolve all technology related issues in a fast manner.
Thinking in traditional business terms becomes an obstacle in the case of e business. The principles that hold good for ordinary business do not fit e business. People rely on internet entirely these days for purchasing, shopping and many other services. E business has grown rapidly and with the growth of smart phones and tablets, the e business has taken a new dimension. The emergence of new technologies and growth of internet has given rise to new challenges in e business. Most of the multinational companies including Ford, FedEx (Charles A. Morrissey) are managing their entire supply chain in the web.
The primary challenge is adapting to the internet era or shifting to e business from traditional business forms. Businesses have to transform their entire organizational structure to cater to the e business environment. A project team structure is recommended to Magnum enterprises comprising of the representatives from various departments. This structure must be left unchanged until the project of strengthening the e business segment of Magnum enterprises is completed.
The rapid growth of e business has also given rise to the increasing number of frauds in the form of cyber crime. Providing customer security is a major challenge for the managers of e business. This is one of the primary technical challenges to be addressed at the e business of Magnum enterprises. Visa verification and digital signatures must be implemented to ensure the security of customer financial information and to carry out online transactions. This is one of the most important IT infrastructures to be implemented at Magnum enterprises e business.
There are many technical challenges faced in re engineering the e business function. E business has given rise to Application service providers (ASP) taking up outsourcing orders and managing networks. These two aspects remain a key technical challenge in e business. As the in charge of Magnum enterprises e business segment, I will choose a reliable Application service provider to manage the orders and networks.
Maintenance of IT infrastructure remains a crucial challenge for the smooth functioning of the e business. The hardware, networks and software must be operating all the time without any crash for the smooth operations of the e business. A highly skilled network administrator with excellent hardware and software skills is needed to install and maintain the IT infrastructure at Magnum enterprises e business. I will hire such a person and a separate department will be formed in future to take care of IT infrastructure implementation and maintenance.
Managing time becomes an important management challenge for the e business managers. E business reduces the time to implement new ideas. In the case of large enterprises, it takes a lot of time to strategize and implement the idea. Small companies with e business capabilities take less time than the large enterprises in implementing the strategies online. The time to market is less in e business but managers are faced with the challenge of implementing the strategies in e business. Things happen at a fast pace in e business and I will equip myself to be as fast as possible in implementing strategies and completing orders in the e business with the full cooperation of my project team at Magnum enterprises.
Patrick M. Wright. Lee Dyer discusses the various managerial challenges faced in e business. The challenges that pertain to organization structure, systems and processes include organizational people, project focus, uncertainty, speed and technology. The challenges that pertain to managing people in e business include integration, project structure, Job churn and exuberance in labor market. E business poses several challenges as most of the e businesses have a sharp rise and a sudden decline (Michael Reiss). This has been the characteristic of e business life cycle over years. Hence maintaining the e business over a long period of time remains a big challenge for the managers. This general characteristic of e business is applicable to the e business of Magnum enterprises and project structure needs to change with new strategies during times of fall to combat this challenge.
Risk management remains a challenge in e business. The internet boom saw the rise and fall of many e businesses and the risks of investing in an e business are high. Hence risk management remains a crucial management challenge for e business managers to sustain in the long run. I will assess the various risks of Magnum enterprises e business segment and frame strategies to cover each risk.
Uncertainty is the major managerial challenge faced in e business. Traditional businesses transforming to e business re engineer the entire business processes. This change process is complex and success is uncertain. Start up e businesses like Amazon, EBay and Dell etc. do not face this challenge of change and re engineering. General Electric faced this challenge of transition and succeeded in a good manner. GE is often cited as a successful example of re engineering and change program. The GE model of re engineering must be adopted in the e business of Magnum enterprises to bring a successful change.
Time is another challenge of the e business managers. Everything happens at rapid pace in e business and changes occur daily and frequently. The e business managers must be ready to react to changes as and when they occur and must be flexible to the core. I must be flexible in adapting to the changes in a frequent manner at the e business of Magnum enterprises.
The project structure in e business is considered important and the project structure must change accordingly in e business. Hence there is no stable project structure in an e business. The project structure in e business comprises of a project team that works together for a short period of time. The project team gets changed after the project gets completed. Forming a team within a short period poses a huge challenge especially with the interpersonal skills. When people move from project to project on a short term in e business, it results in de motivation of employees. This people management aspect remains a big challenge to the employees. The project team at the e business of Magnum enterprises must be the same for minimum a year for people to get to know each other and jell together as a team. The project structure at the e business of Magnum enterprises must add value to the e business.
The managers in a project tend to concentrate more on short term project completion and forget about their managerial work. Most of the e business top management rewards the managers for project completion and hence this tendency has peeked in to the managers. In this process, the managers do not care about their people management responsibilities resulting in high employee turn over. The managers in e business must have a long term focus and consider people management as one of their key responsibilities. I will focus on people management and ensure retaining of employees at the Magnum enterprises e business segment. This will improve the business functions and productivity of the e business.
In most of the e business, technologically developed employees are kept in the management positions. This forms the source of the people management problem in e business as these employees are only technologically advanced and they lack managerial skills. This is often cited as the major reason of the huge employee turn over in e business. Another reason is that e businesses recruit young highly technologically advanced people with different mind sets and values belonging to the generation X. Retaining these young talent is hard task and they tend to switch across companies. Human resource planning and Strategies must be developed to retain the best talent.
The environment of e business must cater to any where, any time concept and must satisfy the buyers and sellers on a mutual basis. Internet forms a medium for buyers and sellers to meet in the form of e business. The managers must be willing to change the company business policies to cater to the online business environment. Channel conflicts often arise in the e business and proper business policies must be in place to resolve them. I will adopt industry standard business policies to cater to the e business segment of the magnum enterprises to resolve all channel conflicts and satisfy both buyers and sellers.
The resource allocation also needs to change accordingly to the new objectives of the e business. Marketing in e business forms a critical issue. The new objective of e business of Magnum enterprises is to strengthen the e business segment through a re engineering process of the various business processes using the small task force of representatives from various departments. This objective will result in cutting costs and limiting the supply chain of Magnum enterprises.
Managing change is another crucial challenge for the e business managers. The top management must be committed to change process and support the manager in all respects to manage the change in a successful manner with the involvement of the entire stakeholders of the company. The small task force comprising the representatives from all departments must be communicated the change process in a clear manner and their support is needed for change. They must be involved in the entire re engineering task of the Magnum enterprises e business. Resistance from employees forms the main obstacle in a change program and at the online re engineering process of Magnum enterprises this should be resolved at the first place. The real success of e business is that of the business model of Dell of having a direct selling with the clients eliminating the intermediaries. The same business model is to be emulated for the e business of Magnum enterprises.
